Frequently Asked Questions for the Exit Management Module

1. A line manager received a notification to assume the responsibilities of an exited employee. Why did the line manager receive this notification?

Answer: In setting up the Exit module, an admin needs to set up the handover note exit activity to specify who should take on the tasks of an exiting employee.

If the handover note exit activity has not been set up, the system will automatically assign an exited employee's responsibilities to his/her line manager.

2. Can I exit an employee as an admin?

Answer: Yes, an admin with the permission/right can exit an employee from the system and this action would remove an employee's rights to the system and terminate their contract.

Also, an admin or supervisor can recommend an employee for exit and the employee would go through the exit procedure set by the company.

3. Can I setup exit activities for employees to take before they are exited?

Answer: Yes, you can set up exit activities using the guide here

4. Can I cancel an employee's exit request as an admin?

Answer: Yes, an admin with permission can cancel an employee's exit request. Here is a guide on how to cancel an exit request.

5. Can I update an employee's exit date as an admin?

Answer: Yes, an admin with permission can edit an employee's exit date. Here is a guide on how to update an employee's exit date.

6. Can I reactivate an exited employee as an admin?

Yes, an admin with the rights/permission can rehire/ reactivate an exited employee

7. Why are exited employees still showing as active?

Answer:

1. Confirm the last day of work of the employee.

2. Check that the exit request of the employee was approved and exit                          activities have been completed before the employee's last day of work.

8. Can I reorder exit activities after creating them.

Answer: Yes. Exit activities can be reordered for each employee before commencing/starting their exit process.

9. Admin did not see option to reorder exit activities as the employee's exit process started automatically after approval.

Answer: First revert the exit activities and then attempt to reorder activities.

You can also toggle off the settings that allows exit process to begin immediately after approval as seen in the screenshot below.

9. I received multiple exit notifications 

Answer: Check and confirm that you do not have multiple admin roles that have been attached to an exit activity and/or process.

Check that you profile (name in an employee group or selected as a specific employee) has not been attached to the exit activities and/or process.

10. Confirm if Admin Staff on SeamlessHR modules can approve their own requests (i.e. Exit Admin requesting for leave on SeamlessHR) 
Answer: Yes, admins on exit approval and/or leave approval can complete the approval of their leave requests.

Once the request has been made as an employee from the employee's ESS, the same employee receives the notification as an admin to complete approval.

11. How can I see exited employees on exit history?

Answer: 

  • Check that the employees belong to that subsidiary. 
  • Check that the exit records are filtered by the correct date range. 

12. Can I setup an approval for reinstating exited employees? 

Answer: Yes, this can be added on the exit settings page as shown below;

 

13. If admin enables employees to add their exit reasons, will the exit reasons be added to the list previously created by the admin?

Answer: Yes, it adds to the list of exit reasons and would be accessible by all employees.

    14. When admin setup that employees exit activities to commence upon request without approval, would the exit request be added to ongoing exit?

    Answer: Yes, it would be added into exit activities. to the list of exit reasons and would be accessible by all employees. There is an automatic approval that removes the exit request from exit requests instead.
