Below are frequently asked questions on the Time management module
1.An employee clocked in via the biometric device but I can't see the attendance record. What could be the reason?
Answer: Kindly check the employee's attendance ID on the device manager page to be sure the employee has an ID.
If there is an ID, you can also check if the ID is not in use by another employee(a case of same ID being used by two employees).
2. Employees are clocking in via biometric device but their records either does not show or are marked as absent. What could be the reason?
Answer: You need to check if the device is active on the device manager page. If the last activity date does not show a recent date, then you need to check the device connectivity with your internal IT team.
Once this is restored, kindly proceed to push status and the records will be updated.
3. An employee tried to clock in on ESS but got the error message stating "You have not been added to a schedule". What could be the reason?
Answer: This means that the employee is not included in a schedule. Admin needs to check the schedule created to be sure the employee is active on the schedule. Ensure you are checking both active and inactive employees part on the schedule.
If the employee is on the schedule and the same thing is still experienced, admin needs to check to be sure the schedule is active(i.e end date has not elapsed)
4. Employee is on an active schedule but noticed that the clock-in button is greyed out. What could be the reason for this?
Answer: Admin needs to check the schedule setup to confirm the timezone setup for that schedule. If the timezone is not the same, then the employee is not yet eligible to clock -in on the timezone he/she belongs.
To correct this, admin can update the timezone to be the same and employee will be able to clock-in.
5.Admin added an employee to a schedule but noticed the employee is not showing on it.
Answer: Admin needs to check if the employee is under "Inactive employees" on the schedule. If the employee is under inactive, admin should republish the schedule to make the employee active on the schedule.
6. An employee on a shift plan tried to clock-in today and instead of the system recording it as a clock-in, it clocked the employee out for the previous shift. Why is this happening?
Answer: The admin needs to check the time management settings page and confirm if the setup permits automatic clock-out or employees have to clock-out themselves. If it is set as "No", the system will not clock the person out until another clock-in attempt is done which is the reason for this experience.
7. An employee who is added to a geofence is unable to clock-in via web and we can confirm that web clock-in is part of the clock-in mode.
Answer: This is happening because the option to allow web clock-in when employee is in active geofence is toggled as "No".
8. An admin is unable to access the Time management module with the Manager's access but another admin who has the same permission as mine is able to see it.
Answer: Manager's access on Time management module is automatically visible if you have subordinates(direct reports) under you.
9. I tried to clock-in 10 minutes after the actual resumption time and the system marked me as absent.
Answer: Check-in with your admin to confirm the duration setup for absence to start counting on the schedule. This experience shows that the setup marks employees as absent after 10 minutes.
10.An employee worked overtime from Tuesday to Thursday but the system is only counting for Tuesday and Wednesday. What could be the reason?
Answer: Admin needs to check the overtime policy setup and confirm that Tuesday to Thursday was checked as overtime days.
11. I exported attendance record on the Time management module, but the email received has no export link. The email is empty. What could be the reason?
Answer: Admin needs to reach out to their internal I.T team to check their email firewall and whitelist emails received from SeamlessTime. Once this is done, the email will contain records as expected.
12. Employees keep getting prompts to clock-in on a day not meant for work. What could be the reason?
Answer: Admin needs to check the workday setup on the schedule to confirm if the specified day was not included as a work day.
