Employee Document Expiration and Salary Notch Updates (January 2026)
The feature release is for document expiration to be managed appropriately by admins and stay compliant. The salary notch feature is to enable employees have real time access to their salaries and track the increase overtime.
Employee Document Expiry Reminders:
We have introduced Employee Document Expiration, a new enhancement that helps companies track time-bound employee documents and stay compliant.
Admins can now mark specific employee document folders as expiring documents. When enabled, the admin sets how many days in advance (up to 99 days) an expiration reminder should be sent before the document expires.
When employees upload documents in these folders via the Employee Self-Service portal, they are required to provide an expiration date for the document.
Based on the reminder timeline set by the admin, the system automatically notifies employees ahead of time to upload a renewed version.
Why This Matters
Improves compliance: Ensures critical documents (e.g. IDs, certifications, licenses) are kept up to date.
- Reduces manual follow-ups: Admins no longer need to track or chase expiring documents manually.
- Employee accountability: Employees are notified in advance and can take action before documents expire.
- Prevents lapses: Proactive reminders reduce the risk of expired or invalid documents in the system
User Flow (High Level)
Admin Flow
- Admin goes to HRIS → Employee Settings → Employee Documents.
- Admin creates or edits a document folder.
- Admin enables the Document Expiration setting for the folder.
- Admin sets how many days before expiration a reminder should be sent (up to 99 days).
- Folder is saved and becomes available to employees.

Employee Flow
- Employee logs into the Self-Service Portal.
- Employee navigates to their Documents section.
- Employee selects the relevant document folder.
- Employee uploads the required file and enters the expiration date.
- The document is saved, and the expiration countdown begins.

Notification Flow
- System tracks the document’s expiration date.
- Based on the admin-defined reminder timeline, the employee receives an email notification before the document expires.
- Employee is prompted to upload a renewed document for compliance.
2. Salary Notch
What is new?
We have introduced Salary Notch History on the Employee Self-Service (ESS) portal to give employees visibility into how their salary has changed over time.
This feature presents a clear, chronological table showing all salary increases or decreases from the point of contract creation. Each entry captures:
The type of change (Promotion, Redeployment, or Contract Update)
- The previous salary value
- The current salary value
- The current pay grade
- Who made the change
- The date the change occurred
Why This Matters
- Improves transparency: Employees can clearly see when and why their salary changed.
- Builds trust: Reduces confusion and questions around pay adjustments.
- Creates a single source of truth: All salary changes are documented and easy to reference.
- Supports employee self-service: Employees can access their history without contacting HR.

Employee Flow

- Employee clicks on Salary Notch History.
- A table is displayed showing the employee’s complete salary change history.

- Salary Notch History is read-only and visible only to the employee.
- The table includes all salary changes from contract creation onward.
- Changes are categorized by Promotion, Redeployment, or Contract Update.
- This feature reflects historical data automatically—no manual setup required by employees.
