HRIS July 2026 - Release Note

Employee Creation Approval adds an approval step to the employee creation process, ensuring new employee records are reviewed and authorized before being added to the system, improving accuracy, accountability, and data integrity.

Previously, when an admin created an employee on HRIS whether individually or in bulk via spreadsheet upload, that employee was immediately marked active, with no oversight or approval required. This left room for risk, such as fake or "ghost" employees being added without anyone else in the organization reviewing or sanctioning the action.

We have now introduced Employee Creation Approval to close this gap. Once enabled, admins will be required to select a pre-created approval workflow for employee creation. Only approval workflows with ONLY admins on the workflow can be selected and not workflows with reporting lines. From that point on, any new employee added individually through the UI or in bulk via spreadsheet will be routed through the selected workflow.

All actors on the workflow will be able to view the employee's details via a spreadsheet, whether the employee was added individually or in bulk, giving them full visibility before deciding to approve. Only after all actors approve will the employee be created and made active.

Why this matters:
  • Reduced fraud risk — prevents unauthorized or fake/ghost employees from being added without oversight
  • Stronger governance — ensures employee creation goes through a defined, auditable approval process
  • Full visibility for approvers — actors can review employee details via a spreadsheet for both individual and bulk additions, so approvals are informed, not blind
  • Consistent across channels — applies whether employees are added individually via the UI or in bulk via spreadsheet upload
  • Configurable control — organizations choose their own pre-created workflow, so the level of oversight fits how they already operate

Admin Flow
  1. Navigate to the Employee Settings Page on HRIS via Employee on Main Menu
  2. Click on the Employee Creation and Contract Approval tab
  3. Select a pre-created workflow for 'Employee Creation Approval Workflow'
  4. Click Save
  5. Admin can choose to Add Employee(s) Individually or via Bulk Upload
  6. Required approver navigates to Requests > Employee Creation Requests on HRIS
  7. Approver clicks to view the request
  8. Approver downloads the request sheet to assess and preview the details of the employees to be created
  9. Approver can either approve or decline
  10. Upon final approving, the employees are successfully created
