Release Note – June 2026: Employee Leave Notification

This release introduces Employee Leave Notifications, allowing admins to set up notifications that go directly to employees about their own leave activity. 

Previously, only Reporting Lines (like Supervisors) and Admins could be configured as notification recipients, leaving employees without any system-driven reminder about their own leave commencement or resumption. With this update, admins can now add "Notify Employee" as a third recipient option under both Resumption and Leave Commencement notifications, with independent timing configurations.

This enhancement closes a long-standing gap in the notification flow, reduces avoidable HR queries from missed dates, and gives organizations the flexibility to keep employees informed about their own leave.

  • What's New: Admins can now add "Notify Employee" as a third recipient option when configuring Resumption Notifications and Leave Commencement Notifications on a leave policy. It sits alongside the existing "Reporting Line" and "Admin" options. When selected, the admin only needs to configure two fields, Days Before and Time, since the system already knows who the employee is. No recipient dropdown is needed. The employee then appears in the recipient panel with their own independent timing, just like Reporting Line and Admin entries. Admins can also save multiple Notify Employee entries per notification type with different timing configurations, and configure it independently for Resumption only, Commencement only, or both.
  • Why It Matters: Before now, when admins configured Resumption or Leave Commencement Notifications, those notifications could only be sent to Reporting Lines (like Supervisors) or Admins. The employee, who is the most directly affected party in both scenarios, was never notified by the system. This meant employees had no system-driven reminder about their own leave commencement or resumption date and had to rely entirely on memory or informal communication.

    This often led to employees missing their resumption date or being caught off guard by their leave start date, which in turn generated avoidable HR queries and follow-ups. With this update, organizations can now include employees in the notification flow, giving them the same level of awareness as their supervisors and admins.

    Each notification can be timed independently, so admins have full control over when and how often employees are reminded. This makes the system more proactive and transparent for employees, reduces unnecessary HR queries, and improves the overall leave experience.
  • Available To: All Admins configuring leave policies and all Employees receiving notifications

Important Notes:

  • The "Notify Employee" option is independent per notification type. It can be configured for Resumption only, Leave Commencement only, or both
  • Multiple "Notify Employee" entries can be saved per notification type with different timings, allowing employees to be reminded more than once before their leave starts or ends
  • Each entry can be removed independently using the × button in the recipient panel
  • Existing leave policies are not affected by this update. No "Notify Employee" entries will be added automatically. The option only takes effect when an admin explicitly configures it on a policy
  • All existing Reporting Line and Admin notification behavior remains unchanged

Notification Copy Examples:Leave Commencement Notification (Employee)

  • When timing is set to 0 Day Before: "Hello, [Employee Name], Your [Leave Policy Name] leave commences today, [Start Date] and is expected to end on [End Date]."
  • When timing is set to X Days Before: "Hello, [Employee Name], This is a reminder that your [Leave Policy Name] leave commences on [Start Date] and is expected to end on [End Date]."

Resumption Notification (Employee)

  • When timing is set to 0 Day Before: "Hello, [Employee Name], Your [Leave Policy Name] leave ends today and you are expected to resume today, [Resumption Date]."
  • When timing is set to X Days Before: "Hello, [Employee Name], This is a reminder that your [Leave Policy Name] leave ends on [End Date] and you are expected to resume on [Resumption Date]."
