[Human Resource Information System](https://support.seamlesshr.com/release-notes?hsLang=en#human-resource-information-system) # Release Notes: Pay Rates – October 2026 ## We have introduced a new Pay Rates tab under Employee Settings, allowing clients to record employee pay rates based on hourly work and different shift types, including weekends, overtime, and public holidays. This enhancement supports clients who do not use the Payroll module but need to maintain detailed employee pay information on their employee records. Previously, we have managed pay information through Payroll, without support for hourly or shift-based rates on employee records. The new Pay Rates tab in Employee Settings lets you record hourly, weekend, overtime, and public holiday rates, whether or not you use Payroll. It lets admins switch on pay rates, choose which pay rate types apply to their organization, and create reusable pay rate templates. Once enabled, a Pay Rates section appears on the employee creation form, and pay rates can also be set through bulk upload.Pay Rates is off by default. Each subsidiary enables and configures its own pay rates and templates. Pay rate types include Hourly, Weekend, Overtime Weekday, Overtime Weekend, and Public Holiday. At least one type must be enabled. Each type also offers an optional Shift Premium, which can only be enabled after its corresponding standard rate—for example, Hourly must be enabled before Hourly Shift Premium. Pay rate templates are reusable formulas built with numbers, arithmetic operators (+, −, ×, ÷), and brackets. Clients using SeamlessHR Payroll can also include allowances from the Payroll module. For clients without Payroll, the allowance dropdown is empty, so formulas use numbers only. Pay Rates is available to all clients, whether or not they use Payroll. How it works:Enable Pay Rates - The admin goes to Employee Settings \> Pay Rates and selects Yes under “Enable pay rates for employees?”. - The admin switches on the pay rate types that apply, plus any Shift Premiums. Create a template - The admin clicks Create template, enters a template name and selects the pay rate type it applies to. - The admin builds the formula (e.g. 28 × 2 + 7, or a figure combined with an allowance) and saves. - Saved templates can be searched, filtered by pay rate type, and copied by name with Copy name. Add an employee individually - On the Add Employee form, the Payrates section under Pay Information shows each enabled pay rate type as a required field. - For each type, the admin chooses Fixed to enter a figure, or Formula to select from templates created for that pay rate type. - If no template exists for a pay rate type, the form says “No templates configured yet for this pay rate.” Bulk upload - In the bulk upload spreadsheet, the Payrate column takes either a figure or the name of an existing template. - The template must belong to the matching pay rate type. - Templates can save a lot of time here. Instead of entering figures for hundreds of employees, admins create one template and enter its name in the spreadsheet. - Editing a template: changes apply to every employee already using that template. - Turning Pay Rates off: the Pay Rates section is hidden from employee records. Existing values are not deleted. Why this matters: - Pay rates without Payroll: clients who don’t use Payroll can still record how their employees are paid. - Flexible pay structures: hourly, weekend, overtime and public holiday rates, each with optional shift premiums, cover shift-based and hourly workforces. - Faster bulk setup: one template name in a spreadsheet replaces manual entry for hundreds of employees. - Consistent and easy to update: employees on the same template follow the same formula, and one edit updates them all. -
